How to process EMA credits when a family does not owe anything.

** An EMA credit  must be allocated to charge otherwise they will not appear on fee recs and other reports.  Also, you won’t be able to complete the Debtor Close Off Year process if there are unallocated credit charges.

As such, if there are no outstanding charges to allocate the EMA credit to, an existing debtor receipt will need to be de-allocated (and left as a prepayment) to make way for the EMA.

A receipt can be de-allocated in three ways
- by re-opening the original receipts posting and modifying the receipt,
- by creating a new zero receipt, or
- by using the Allocate button in Debtor Maintenance.

The first two options will take care of any general ledger activity required while the final option via Debtor Maintenance will not.  Hence, de-allocating through Debtor Maintenance should only be done where no general ledger activity is required (for example, when de-allocating a receipt from a tuition fee charge to prepaid tuition which would not require any GL movement).

Detailed steps can be found in the attached document.

** Please note that, if de-allocating via Debtor Maintenance, the receipt must be selected before clicking ‘Allocate’ (not the charge).
